Privacy Policy
This policy explains how Rochester Optical collects and uses personal information through this website and when you contact us about our KONNEKT and MaskOptix eyewear ranges. This website is an information site for optical professionals in the UK. It does not sell products online: if you would like to stock our products, you contact us directly by email or phone.
Who we are
The data controller responsible for your personal information is Genesis Vision, Inc. d/b/a Rochester Optical (“Rochester Optical”, “we”, “us”), 920 Emerson Street, Rochester, NY 14606, United States.
Because we are based outside the UK, we have appointed a Data Protection Officer as our representative in the UK under Article 27 of the UK GDPR. You can contact our UK representative about any matter relating to your personal information at dpo@rochesteroptical.co.uk.
This website is hosted and operated for us by Indigo Lighthouse, a UK company that provides the website platform. Indigo Lighthouse processes personal information on our behalf and only on our instructions.
What information we collect
When you contact us. If you email or phone us, we collect the information you give us. This is usually your name, job title, the practice or business you work for, your business email address and phone number, and the details of your enquiry.
When you visit the website. Our hosting platform automatically records technical information such as your IP address, browser type, device type, pages visited and the date and time of your visit. This is used to keep the website running securely.
Cookies and analytics. If you accept analytics cookies, Google Analytics collects information about how you use the website, such as the pages you view and how long you spend on them. See the cookies section below.
Accounts. The website has a sign-in area for users who have been given an account. If you have an account, we hold your name, email address, login details and a record of your sign-in activity.
We do not ask for, and ask you not to send us, patient information or any health information about individuals.
How we use your information and our legal basis
We use your information to:
- respond to your enquiry and discuss supplying our products to your practice or business, because this is necessary to take steps at your request before entering into a contract, or is in our legitimate interests in developing business relationships;
- manage an ongoing trade relationship if you become a customer, because this is necessary to perform our contract with you;
- send you product and trade updates by email, where you have agreed to receive them or where you are an existing business contact and have not opted out. You can unsubscribe at any time;
- operate, secure and maintain the website and any user accounts, because this is in our legitimate interests;
- understand how the website is used so we can improve it, using analytics cookies only with your consent;
- comply with our legal obligations, such as keeping business and tax records.
Cookies
We use two types of cookies on this website:
- Essential cookies are needed for the website to work, for example to keep you signed in, remember your cookie choices and protect against security threats. These are set automatically.
- Analytics cookies from Google Analytics help us understand how visitors use the site. These are only set if you choose to accept them.
You can accept or reject analytics cookies using the cookie banner when you first visit, and change your choice at any time through the cookie settings. You can also block or delete cookies in your browser settings, although some parts of the website may not work properly without essential cookies.
Who we share your information with
We do not sell your personal information. We share it only with:
- Indigo Lighthouse, which hosts and operates this website;
- Google, which provides Google Analytics, if you have accepted analytics cookies;
- our email, IT and business service providers, who process information on our behalf;
- other companies within our group, where this is needed to handle your enquiry or supply you;
- professional advisers, regulators, law enforcement or courts where the law requires it or to protect our legal rights.
International transfers
Rochester Optical is based in the United States, and some of our service providers, including Google, may process information outside the UK. Where your personal information is transferred outside the UK, we make sure it is protected by an appropriate safeguard, such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, the UK Extension to the EU–US Data Privacy Framework, or a UK adequacy decision. Contact us if you would like more information about these safeguards.
How long we keep your information
We keep personal information only for as long as we need it for the purposes described in this policy. How long that is depends on the reason we hold it: enquiry details are kept while we are discussing a possible trade relationship with you, customer and account records are kept for as long as the relationship continues and afterwards for as long as the law requires us to keep business and tax records, and website and analytics data is kept only for as long as it is useful for running and improving the website. When we no longer need your information, we delete it or make it anonymous.
How we protect your information
We and our service providers use appropriate technical and organisational measures to protect your information, including encrypted connections to this website and access controls on our systems.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information;
- ask us to restrict how we use your information;
- object to us using your information based on our legitimate interests, and to direct marketing at any time;
- ask us to transfer information you have given us to another organisation;
- withdraw your consent at any time, where we rely on consent, for example for analytics cookies.
To use any of these rights, contact us using the details below. We will respond within one month.
Complaints
If you are unhappy with how we have handled your personal information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
